The Office Services maintains a central duplicating and mail service center for the College Community. Separate Mailroom and Print Shop facilities are maintained at the Brookdale campus. The central duplicating service provides black, white and color copying, transparencies, folding, cutting, stapling, postcards and binding. The mail service provides coordination of campus-wide mail pickup and delivery, postage for college mail, folding envelope stuffing (inserting), sealing, packaging, collating and computer generated mail processing.

Duplicating services provides efficient and quality service for the Hunter College Community. Departments wishing to use our services may initiate their requests by completing the Black and White Duplicating Request Form and Color Copies Duplicating Request Form (one for each job). After completing the form you may print it and attach it to your original. In order to insure proper billing, please be sure to include all billing information and departmental numbers.
Printing turn around time is based on the complexity of the work request, number of pages, miscellaneous service to be provided and the current work load. Standard copy work requires a two-day waiting period for completion. The two day period does not include the day of drop off, unless before 10:00 a.m. In the beginning of the semester and during exam time a large volume of work enters our department from both Administrative and Academic offices. We will make every effort to maintain our two-day turn-around period. Our staff will advise you if the estimated time will be longer. Special or large requests may require extra time. Please plan ahead. If you think your work will require special attention, be sure to notify Mr. Angel Vega, Coordinator of the Duplicating Service at (212) 772-4341. If the work order is not within the deadline capability, Duplicating Services will call the staff/faculty member to let them know when the request can be expected. For the 68th Street campus, duplicating will make every effort to accommodate walk ins. Service is based on workload and time availability. Duplicating services cannot guarantee same day service.
The document-binding system binds from 3 to 350 sheets. It offers a professional appearance that will last for years and allows you to personalize the spine of your document. It includes a clear cover (8 1/2 x 11), a linen embossed paper binder cover (on back), linen embossed binding strips and up to 70 foil characters printed on the spine. Note and Scratch Pads Duplicating Services can produce a variety of note and scratch pads, with or without printing, in a variety of sizes.

In addition to postage and mailing, the Mail Center offers folding, envelope stuffing (inserting), sealing, packaging, collating and computer generated mail processing.
In order to facilitate the proper receipt and delivery of mail, we request that all outgoing mail be labeled, properly sorted and rubber - banded into the following categories:
Inter - office letters
Inter - office flats ( flat mail is any mail larger than a normal sized letter)
Book rate and printed matter
Brookdale Incoming Mail
All first class mail is sorted and distributed in mail boxes by 2 PM the same day. Magazines and “other than first class” mail is distributed into the boxes by the end of the day or no latter than the next morning (depending on volume).
Brookdale Outgoing Mail
All mail brought to the Mailroom during the day and after the mid- morning pick will be posted and ready for the next day’s pick up. Staff may also use the US Mail box directly outside the Mailroom behind the Security Guard’s Desk.
Brookdale Courier Services
All mail and/or packages from private couriers such as DHL, FedEx, UPS, etc. are delivered to the Mailroom or Print Shop.
68th Campus Courier Services
All mail and/or packages from private couriers such as DHL, FedEx, UPS, etc. bypass the college mailroom (main campus). These items are handled by the Receiving and Stores or delivered directly to the recipient(s).
68th Campus Mail Pickup and Delivery Service Scheduled once a day between the hours of 12:30 PM and 1:00 P.M., depending on building and floor. If you are not familiar with the approximate time and location of mail pickup and delivery for your department you may contact the mail room at (212) 772-4346.
68th Campus Incoming Mail
Mail is received from the US Post Office twice a day. Morning mail is included in the same day delivery. Afternoon mail is sorted and delivered the following business day.
68th Campus Outgoing Mail Mail going to the US Postal Service leaves Hunter College at 2:00 P.M. daily. Mail for same - day processing must be brought to the Mailroom no later than 1:00 P.M.
All International Mail is sent via surface international courier service unless alternative handling is specified. Department wishing to use the faster and more costly alternatives must notify Mail Services in writing when dropping off their International Mail.
Reply Mail Service (RMS) Enables the sender to enclose convenient, preprinted reply pieces in outgoing mail to students, staff and alumni for return by domestic mail. Departments interested in using this method should contact the mail room at (212) 772-4346 prior to designing or printing any Reply mail pieces to insure the most cost-effective method.
Docu-Match Integrated Mail System
Allows us to print personalized letters and matching envelopes. We can add up to two preprinted sheets, fold this material, add a business reply envelope or tri-fold insert/brochure. CUNYInter-College Messenger Service: CUNY operates an Inter-College Messenger Service. Two messengers originating from 80thstreet, depart approximately 8:00 AM. Messenger one is responsible for all CUNY inter-college mail in Manhattan as well as mail to and from 57th street. The second messenger is responsible for all CUNY colleges in Brooklyn and Queens. (Service is not available for Staten Island or the Voorhees Campus)
CUNYInter-College Messenger Service The Manhattan messenger arrives at the main Hunter College mail room between 8:30 AM and 9:00 AM. After all drop offs, mail picked up is returned to 80th Street. Mail and packages are then sorted and delivered the next day. Please note that ALL mail and packages are returned to 80th street, sorted and then delivered the next day. There are NO Manhattan to Manhattan same day deliveries.
These services are only available when regular classes are in session. This service is not available during the summer
* Please note that faculty and staff wishing to use this service must add at least one additional day to each end of the process – since mail is only picked up and delivered to the main campus.
The Brookdale Mail Room is located on the first floor of the West Building, across from the elevators. The hours of operation are Monday – Friday - 9:00 AM – 5:00 PM. The Print Shop is located on the main floor of the West Building and open Monday – Friday - 9:00 AM – 5:00 PM. These facilities provide service to the entire Brookdale community (including Hunter faculty, students and residents as well as the Brookdale Center on Aging). TheUS Postal Service picksup and delivers Brookdale mail early to mid morning. Blue Exam Booklets (8 page) and Multi-Purpose Office Paper
Departments wishing to obtain these items may do so by completing the Paper and Exam Book Order Form and indicating the items needed.
Completed requests may be brought to the Duplicating Services in the North Building, Room 352B.
Exam Booklets will be charged back at the rate of $4.50 per pack of 50.
Paper will be charged back at the rate of $30.00 per case. Please note that our office has an additional limited selection of various weights and colors of paper. Available upon request.

Charge Back System All services are charged-back to the originating department. Billing for Duplicating Services rendered will be done on a monthly basis. A charge back procedure is in place for all departments with College allocated tax levy OTPS. Departments without OTPS will be billed. College policy requires that all bills be paid within 30 day of delivery of services. Failure to do so may restrict future services.
It is against the law to reproduce copyrighted materials without the permission of the copyright owner, unless the copying materials fall within the "fair use” library reproduction rights of the copyright law. The Duplicating Staff will decline the duplication of copyrighted material that does not fall within “fair use” or have proper authorization and consent. In order to obtain copies of copyright material, faculty/staff must complete an Authorization to Duplicate Academic Material Form. These are available in the Duplicating Office.
In order for our office to obtain optimal results originals must be of good quality.
Originals must be:
Size: 8 ½ x 11, 8 ½ x 14 or 11x17. Our machine cannot accept or collate any other sizes.
There must be at least ½ inch border on all four sides of the paper. Failure to adhere to this specification will result in an automatic mechanical cropping of the copies and poor copy quality.
In order to automatically feed originals, they must be flat and of the same type of paper, otherwise different weights of paper will cause jams in the machine which may possibly destroy your originals.
The following materials will not reproduce well:
Printed material with photographs or shaded drawing (halftones)
Dot-matrix computer print
Originals on dark colored paper
Material in pencil or light ink
Originals, which are either too light or too dark, will continue to get lighter or darker respectively in the duplicating process. Accordingly the last copy will be substantially inferior to the first. We are unable to make adjustments
The following materials are not acceptable:
Originals with black borders - Xerox Corporation has advised us that copying black borders is harmful to the college equipment. Our equipment is highly sensitive and the black border causes an additional output of toners, which not only harms the equipment, it produces poor copy quality on subsequent jobs.
Damaged, torn, folded, curled, bent or otherwise mutilated originals. Please make a “copy ready” original prior to submitting job requests.
Books, magazines, pamphlets or paste-ups. A “copy ready” sheet must be made first then brought to the office.
Wrinkle paper, newspaper, cutouts, fax paper, onionskin, and oversized computer paper, torn or curled paper.
Hand written copies must be in black ink for optimal results.
Originals on colored paper will produce an inferior product when they are recopied.
Picking up Work Because of the large amount of work being produced in our Duplicating Office every day, it is difficult for us to call you personally to tell you your work has been completed. Please call Mr. Angel Vega at (212) 772-4341 or check the shelf in the duplicating office on the date your work is due; if it is not there, ask for assistance.
It is the policy of the Office Services/Duplicating Department that exams must be delivered and picked up by full time faculty or staff. It is highly recommended that staff who are Hunter students should not be sent to the Duplicating Services to retrieve exams. All personnel picking up exams must present a current Hunter College staff ID card. All exams must be stamped EXAM prior to submission for duplicating. Under no circumstances are Hunter College students allowed to pick up exams.
